Job Summary

The Receptionist is a member of the Office Support Team at the Nakenu Family Center and will be the main point of contact for all customers in person and on the phone. The Receptionist will also be responsible for, but not limited to, the following duties: reception, record keeping, scheduling, data entry, insurance verification, and miscellaneous duties at the direction of the Office Manager or Director. The Receptionist will also provide back-up for the Office Clerk position on an as needed basis.  

Essential Functions

  • Screens and routes incoming phone calls; initiates outgoing calls and documents communications.
  • Greets all customers (i.e. clients, staff, visitors, etc.) in a friendly, caring manner. Listens and positively responds to request for information or assistance.
  • Client Registration- verification of insurance/Medicaid, obtaining copies of required documentation.
  • Receive payment for services from clients (i.e.: cash, credit card, check)
  • Create new client files- review of intake paperwork for completion, including required signatures.
  • Assist clients in completion of registration packet, if assistance is needed.
  • Manage the Mental Health and Drug & Alcohol referrals, waitlists, and no show list.
  • Schedule Mental Health and Drug & Alcohol appointments, completing any required screening forms at that time.
  • Complete and submit status reports to Kenai ASAP.
  • Data entry in RPMS/Medisoft/Office Hours/AKAIMS for new clients, encounters, discharges, etc.
  • Scan and forward new client demographic sheets to Billing Technician.
  • Route all referrals for services to next available clinician or counselor for review.
  • Route all requests for information to Office Manager for completion.
  • Print superbills each day.
  • Check clients out and schedule next appointment.
  • Assist clients in the Sliding Fee Scale application process. Collection and submission of back-up documentation for application.
  • Responsible for all communications with OCS and Tribal Court regarding UA set up, results, and purchase authorizations.
  • Maintain OCS UA log, calendar, and files.
  • E-mail the random UA color of the day to the Tribal Court Liaison each morning.
  • Observe OCS UAs for clients of the same gender, as needed.
  • Prepare daily deposit. Submit to Office Manager for review and completion.
  • Provide clerical support to providers at Nakenu (i.e. faxing, copying, etc.), as needed.
  • Abide by all rules and regulations regarding client confidentiality, including the Federal Regulations on the Confidentiality of Alcohol and Drug Abuse Patient Records (42 CFR, Part 2) and HIPAA regulations.
  • Adhere to Kenaitze Indian Tribe's Policies and Procedures.
  • Attend scheduled trainings and meetings.
  • Performs other duties as assigned.

  • High School Diploma or general education degree (GED) required


  • Minimum of two years of experience in a clerical or office assistant position in a healthcare setting required
  • Previous experience working with Alaska Natives or American Indians preferred


  • Alaska Driver's license

 Special Skills  

  • Ability to type 40 wpm
  • Strong knowledge and experience in HIPAA/42 CFR, Part 2
  • Proficient in Microsoft Office Suite (i.e. Word, Excel)
  • Ability to multi-task handling large volumes of work
  • Ability to be flexible in receiving additional office support tasks, prioritize them appropriately, and work independently
  • Ability to work tactfully and effectively with clients, visitors, staff and other agencies
  • Effective and clear oral/written communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Ability to lift program materials weighing up to 50 pounds
  • Willingness to observe OCS UAs
